Lock the Auspicious Time First — Then Build the Schedule Around It
For many Chinese-owned businesses in Malaysia, the grand opening date and ceremony time are chosen for auspiciousness, sometimes with guidance from a feng shui master. This can result in a very specific time slot — such as 8:48 AM, 10:28 AM or 11:38 AM. Once the auspicious time is fixed, the rest of the event schedule needs to be planned backwards from that moment.
- The auspicious time is usually the ribbon-cutting moment — not the guest arrival time. We recommend having guests arrive around 15 minutes before the ceremony, so everyone is settled and the ceremony area is fully ready when the auspicious time arrives.
- An early ceremony may require an overnight or early-morning setup. An 8:48 AM opening may mean the decoration team needs venue access around 5:00 AM. Building access, lift bookings and security clearance should therefore be confirmed in advance.
Tell your decoration team the auspicious ceremony time when you first enquire — not just a few days before. It affects crew scheduling, venue access and the entire setup timeline.
Build the Grand Opening Ceremony Run-of-Show
A clear run-of-show keeps everyone on the same timeline. It shows what happens, when it happens, and who is responsible — and should be shared with your event team, vendors and key staff before the opening day.
For example, if the auspicious ribbon-cutting time is 11:38 AM, the schedule should be planned backwards so the venue, guests, VIPs and ceremony elements are all ready before that exact moment.
The key is to keep the main ceremony sequence tight. Once guests are seated, the transition from the opening performance and speeches to the ribbon cutting and opening gimmick should be clearly timed and rehearsed.
Plan the Lion Dance Before the Opening Day
For many Malaysian grand opening ceremonies, the lion dance is one of the most memorable and photographed moments of the event. It can also affect the ceremony timeline if the performance, route and space are not confirmed in advance.
- Duration. Confirm the performance duration with the troupe beforehand. A lion dance may be scheduled for 10 minutes or longer, so the exact timing should be included in your run-of-show.
- Space & Route. Make sure there is enough clear space for the lions to move and perform, especially around the entrance. Balloon decorations, flower stands, tables and guest seating should not block the performance route.
- Cai Qing (采青). If your ceremony includes Cai Qing, confirm who will prepare the lettuce, red packets and other items, as well as where they will be placed.
- Venue & Neighbours. Drums, cymbals and firecrackers can be loud, particularly for early-morning ceremonies. Check the venue's requirements and notify building management or neighbouring units where necessary.
- Ribbon Cutting. Decide how the lion dance connects with the official ribbon cutting. The troupe may perform before the ceremony, remain for the ribbon cutting, or finish before the VIPs move into position. The important thing is to confirm the sequence beforehand.
Get the Ribbon Cutting Details Right
Ribbon Cutting Ceremony →The ribbon cutting may take only a few seconds, but it is often the defining photograph of the opening ceremony. A little preparation makes the moment look organised, professional and effortless.
Who Cuts
A typical ribbon-cutting group includes three to five people — such as the owner or managing director, guest of honour, and selected business partners, landlords or franchise principals. Keeping the group small makes the official photo clearer and ensures everyone remains identifiable.
Order & Position
Position the guest of honour at the centre with the host beside them. Brief everyone before the ceremony and show them exactly where to stand. The ribbon-cutting moment is brief, so nobody should be figuring out their position at the last minute.
The Physical Details
Prepare one pair of scissors per cutter, ideally presented on a tray. White gloves can be used for formal corporate openings but are optional. Set the ribbon around chest level for the shortest person in the group, and have a spare ribbon ready in case the first cut does not go as planned.
The Cutting Cue
Everyone should cut together on the emcee's cue, rather than cutting one after another. A simple rehearsal or countdown helps the group coordinate the moment and makes the photograph much cleaner.
Where the Photographer Stands
The main photographer should stand directly in front of the ribbon-cutting group, with enough distance to capture the people, ribbon and important branding or entrance decoration. Confirm the position beforehand and keep that area clear during the ceremony.
Time the Gimmick to the Cut
The opening gimmick is what turns a ribbon cutting into a moment people remember — and often the moment everyone reaches for their phone. The timing should be planned as part of the ceremony flow, not treated as a separate setup.
Plan Around Prayer Times & Dietary Requirements
For a Malaysian grand opening with a mixed guest list, it is worth considering prayer times, religious arrangements and dietary requirements when building the event schedule. Planning these details early helps the ceremony run comfortably for both guests and staff.
Prayer Times
Check the prayer times for your event date and avoid placing important ceremony moments during periods when key guests or staff may need to leave. Friday events may require additional planning around Friday prayers.
Doa Selamat
Some businesses include a Doa Selamat or other religious observance as part of their opening. If included, confirm the timing, participants and required arrangements early and place it clearly within the ceremony flow.
Catering & Dietary Requirements
Ask about dietary requirements when confirming your guest list. For a mixed corporate audience in Malaysia, halal catering is often the simplest option for serving a wider group comfortably. Confirm the caterer's certification and venue requirements where applicable.
Build It Into the Schedule
Do not treat prayer breaks or catering as last-minute details. Add them to the same run-of-show used for the ribbon cutting, lion dance, speeches and opening gimmick so every vendor and staff member works from the same timeline.
Decide the Shot List Before the Event
A Grand Opening Ceremony creates several important moments that only happen once. Decide the key photographs before the event and give the list to your photographer so the important moments are not missed.
-
Full frontage before guests arrive — capture the complete storefront, entrance, signage and decoration while the area is still clear.
-
Lion dance at the entrance — capture the performance together with the decorated entrance and branding.
-
Ribbon cutting — take a wide shot showing the VIPs, ribbon, entrance decoration and important signage.
-
Opening gimmick — capture the balloon popping, balloon drop or other special effect as it happens.
-
Group photo — photograph the VIPs and key guests together, with the company signage or branding clearly visible.
-
Owner with the guest of honour — capture a dedicated portrait for future social media, press and company communications.
-
Interior and first customers — capture the opening atmosphere once the doors are open and the first guests begin entering.
Five Grand Opening Ceremony Mistakes to Avoid
Most ceremony problems are not caused by one major mistake. They happen when small responsibilities are left unclear. These are five common issues worth checking before the event day.
No Named Emcee
Without one person clearly cueing the ceremony sequence, transitions can stall. Assign one person to control the run-of-show and coordinate the key moments.
Speeches With No Time Limit
Long speeches can push the ceremony behind schedule. If your ribbon cutting is tied to a specific auspicious time, build a clear time limit into the programme.
Not Telling the Decoration Team the Ceremony Time
Decoration setup should be planned backwards from the ceremony. Tell your decoration team the exact ribbon-cutting time when booking so they can plan installation and crew arrival accordingly.
Nobody Assigned to the Gimmick
Do not assume someone will trigger the opening effect. Assign one named person and give them one clear cue from the emcee before the ceremony begins.
Not Walking the Space Beforehand
Check the actual venue before the event day. Entrance decorations, flower stands, seating and other equipment should not block the lion dance route, guest movement, photographer position or ceremony area.
